Executive Assistant to C-Suite
Overview
A highly successful and fast-growing global investment management firm is seeking an experienced Executive Assistant to provide dedicated support to a senior C-suite executive. The ideal candidate is proactive, highly organized, and able to anticipate needs before they arise. They will serve as a partner to the executive, ensuring priorities are managed seamlessly and day-to-day operations run efficiently.
Key Responsibilities
- Manage complex and ever-changing executive calendars across multiple time zones
- Coordinate extensive domestic and international travel arrangements, including detailed itineraries
- Prepare and manage expense reports and related documentation
- Organize meetings, conferences, and executive events
- Act as a gatekeeper and liaison between the executive and internal/external stakeholders
- Prioritize competing demands and adjust quickly to shifting business needs
- Handle highly confidential information with professionalism and discretion
- Coordinate with other executive assistants and support teams to ensure seamless communication and execution
- Assist with special projects and ad hoc requests as needed
Qualifications
- 10+ years of Executive Assistant experience supporting senior leadership
- Significant experience supporting C-suite executives
- Demonstrated ability to manage multiple priorities in a high-pressure environment
- Exceptional organizational and time management skills
- Strong written and verbal communication abilities
- Highly proactive with the ability to anticipate challenges and resolve issues independently
- Professional, polished, and adaptable demeanor
- Strong sense of ownership, urgency, and accountability
- Proficiency with Microsoft Office Suite and modern collaboration tools
Preferred Experience
- Experience supporting executives within financial services, professional services, technology, or other fast-paced corporate environments
- Exposure to global organizations and international stakeholder management
- Experience coordinating complex travel and executive-level meetings
Work Environment
- Full-time, in-office role based in New York City (some remote flexibility while Principal travels)
