We are looking for an experienced Office Manager to oversee the day-to-day running of the office and provide strong leadership to our administrative and support staff. This is a varied, hands-on role covering operations, people management, facilities, and administration. Previous healthcare experience is not essential, but proven experience managing a team is.
Key Responsibilities
- Manage the day-to-day operations of the office, ensuring smooth and efficient running of all administrative functions
- Lead, supervise, and support a small team, including managing workloads, clinical diaries, and performance
- Act as the first point of contact for staff on operational and HR-related queries, escalating to senior management where appropriate
- Ensure that targets are being met and that the team are motivated and driven to achieve them
- Oversee patient administration processes, including appointment scheduling, correspondence, and record-keeping, working closely with the Patient Care Coordinator and clinical team
- Manage office supplies, equipment, and facilities, liaising with suppliers and contractors as needed
- Support recruitment, induction, and onboarding of new team members
- Ensure compliance with clinic policies, data protection requirements, and health and safety standards
- Support the Finance team with basic administrative tasks such as invoice processing and expense tracking
- Collate and maintain data to support the Business Development team, including tracking key figures, preparing summaries, and helping monitor progress against business development targets
- Assist with organising meetings, events, and conferences, including logistics and attendee coordination
- Identify opportunities to improve office systems, processes, and efficiency
- Provide regular updates and reports to senior leadership on office operations and team performance
Essential Skills & Experience
- Proven experience in an office management or similar leadership role
- Demonstrable experience managing, motivating, and developing a team
- Strong organisational and multitasking skills, with excellent attention to detail
- Confident communicator, comfortable liaising with staff, clinicians, and external suppliers
- Proficient in Microsoft Office (Word, Excel, Outlook) and comfortable learning new systems
- Ability to use initiative, solve problems, and manage competing priorities
- Discretion and professionalism when handling confidential and sensitive information
