About the role
Executive Office is responsible for supporting the Bank's executive management in the areas of corporate governance, internal and external communications, brand and reputation management, stakeholder engagement, corporate events and administrative coordination. As a Senior Assistant Property Management - Mandarin Speaking, you will be responsible to provide support in the management of expatriate accommodation and building projects. This is a full time permanent position.
Key responsibilities
- Support the day-to-day management of expatriate accommodation, including the booking and coordination of temporary accommodation where required
- Support budgeting, forecasting, cost analysis and expense monitoring for the Bank's residential properties and related projects, maintaining financial trackers as required
- Support the maintenance, acquisition and disposal of fixed assets relating to Bank-owned residential properties
- Coordinate with managing agents, maintenance contractors and other relevant parties to resolve maintenance and issues affecting Bank-owned residential properties
- Support expatriates with new tenancy arrangements and assist with the negotiation and management of property rental and lease terms
- Maintain accurate records and filing systems and prepare regular and ad hoc expatriate accommodation reports for HR, Financial Management, Head Office and the Expatriate Management Committee as required
- Support the implementation of building and property projects across the Bank's residential and commercial property portfolio
- Provide administrative and logistical support to the Project Manager, project team and relevant internal departments on property-related projects
- Prepare project correspondence, reports, presentations, meeting materials and minutes, and maintain accurate project records, logs and documentation
- Perform other related property, facilities and administrative duties as required
Requirements
- Degree educated in Business, Finance, Accounting or other relevant subjects
- Relevant experience in Property Management within Financial Services or a regulated environment is desirable
- Good awareness and understanding of current compliance and regulatory requirements
- Excellent English and Mandarin communication skills
- Proactive and willing to learn
- Adaptable and resilient, with the ability to respond effectively to changing priorities
- Problem solving skills
- Team player
- Proficient in Microsoft Office (Word, Excel, PowerPoint)
