About the Role:
We are looking for a talented and highly motivated Executive Assistant to support Baird's Global Investment Banking team. This role will be a minimum 12-month fixed-term contract.

As an Executive Assistant, you will be able to contribute to the success of our Investment Banking team through administrative and operational support, client-relationship management, and event organization.
The ideal individual will perform core administrative responsibilities to our Investment Bankers. Some of these duties may include supporting the banker's diaries, scheduling meetings/calls, arranging travel, processing expenses, and monitoring phases of deal processes. You will tap into your analytical skills by researching and compiling data and vital communications to complete tasks. A key to your success will be developing and maintain strong relationships.
This position offers flexibility to work Tuesday, Wednesday and Thursday in the London office and Monday and Friday remote.

The Impact You'll Make:
- Effective and open communication with manager, bankers and administrative team
- Collaboration with different administrative and operational functions e.g. Events Team, Conference Centre, etc
- Complex multi-time-zone diary management, organising meetings and co-ordinating conference calls in a fast-paced working environment whilst ensuring the teams' priorities are met
- Daily correspondence and email management
- End-to-end extensive domestic and international travel arrangements
- Acting as a designated point of contact / Project Assistant on IB deals
- Event organisation such as Closing Dinners and Sector Events
- Processing and submitting expenses for team members in a timely manner
- Promote excellent client relationships at all times
- Printing, binding, photocopying
- Support visiting colleagues from other Baird offices
- Covering for the other EAs as and when required
- Utilising AI tools to streamline day-to-day workflow
What You'll Bring to Baird:
- Minimum of 5+ years EA experience preferred, ideally supporting a fast-paced investment banking team, professional-services or financial-services - experience as a deal/Project Assistant advantageous
- Advanced time management, organisational and prioritisation skills
- Proficiency in Microsoft Office 365, Outlook, Concur, Salesforce (or similar) and AI tools (Rogo advantageous)
- Proactive, with strong critical thinking and problem-solving skills
- Excellent written and verbal communication skills
- A collaborative working style with a positive, can-do attitude
- Strong interpersonal skills
- Willingness to adapt and use AI tools
- Drive and energy, with the ability to multi-task effectively when under pressure
- Strong client service ethos with excellent team working skills
- Excellent organisation and administrative skills including high level of attention to detail, accuracy and the ability to meet deadlines
