Job Description
Newmark Knight Frank is seeking an Executive Administrative Assistant to support Vice Chairman. Applicant will manage business-related tasks for Senior Executive in the New York headquarter office. The ideal candidate is highly self-motivated, professional and capable of prioritizing tasks a daily work load in high-energy environment.


Responsibilities

  • All general administrative functions, including answering telephones, responding to calls/emails and managing lists/files
  • S chedule meetings, calls, webinars and manage detailed travel arrangements
  • Help prepare for office visitors and meetings
  • Coordinate complex and constant-changing meeting/call schedule and preparation of necessary materials
  • Maintain organized filing system and databases; utilization of team CRM and knowledge of team deal flow and deal status
  • Plan and execute client dinners and events; including development of guest lists and program, venue arrangements, and on-site execution
  • Prepare detailed business expense reports and liaise with Accounting and Finance Departments
  • Occasional personal assistance for principal

  • Anticipate and address unforeseen events confidently and independently

Skills, Education and Experience:
  • 3-7 years of proven experience in an administrative support capacity in commercial real estate or related field
  • Proficiency in all Microsoft Programs (Word, Excel, PowerPoint, Outlook)
  • Bachelor's Degree preferred
