BlackRock is sourcing for an enthusiastic Administrative Assistant who functions in an efficient, detail-oriented, and proactive manner. The ideal candidate is a seasoned professional who has experience supporting senior executives with global responsibilities in a fast-paced and highly dynamic environment.  He/she should be a team player, extremely motivated, resourceful, organized, responsive and proactive in communications, and able to leverage the managers' time by completing tasks independently with very strong attention to detail and understanding of priorities with a positive attitude.  The position is based in New York.

 

Responsibilities:

  • Responsible for the daily schedule of one or more individuals; anticipate necessary background materials, directions and other items required for each activity on the schedule. Maintain busy calendars, schedule meetings and ensure managers arrive to meetings on time
  • Handle a broad range of duties from day to day operational activities to scheduling meetings and correspondence with Executive management and Board members and their assistants
  • Meet and greet visitors and clients, answer phones, coordinate conference rooms and meal arrangements
  • Handle a large volume of travel planning including airline reservations, hotel accommodations, car rental reservations, car service arrangements and driving directions as needed
  • Manage inventory of supply stock for the team daily
  • Process and track expense reports and reimbursements
  • Produce letters, memoranda, presentations, reports, etc. as necessary; proofread documents for appropriate grammar, punctuation and spelling
  • Assist in presentation preparation
  • Provide core administrative support such as faxing, filing and copying
  • Performing ad hoc projects as needed

 

Skills:

  • Minimum seven years of corporate administrative experience supporting senior-level executives
  • BA/BS degree, preferred
  • Advanced MS Outlook and strong MS Word, Excel and PowerPoint skills required
  • Experience and proficiency working with automated expense tracking, online travel etc.
  • Ability to perform under pressure in a fast paced environment and to work with confidential/highly sensitive information
  • Analytical and creative-capable of flexing solutions to changing demands: anticipating the local, regional, global impact
  • Forward thinking and possesses the ability to anticipate needs and act upon requests independently and with an understanding of priorities
  • Excellent written and oral communication skills and collaborative interpersonal skills
  • Excellent organizational skills with very strong attention to detail; ability to handle multiple tasks with a high degree of accuracy and meet deadlines in a high pressure environment
  • Professional and polished conduct in all aspects
  • Ability to work well in a team environment, getting along with multiple personalities and be proactive in assisting and supporting others, providing backup as needed
