Client Service Specialist/Personal Assistant
Job Description

We are a growing Private Wealth Advisory office, with 20 years' experience in the Financial Industry. Our Kalamazoo, Michigan office is seeking someone with attention to detail and the ability to multi-task in a fast-paced environment.

The Client Service Specialist will assist our advisors in daily operations, allowing the advisor to focus more time and energy on client acquisition and deepening client relationships. This is an administrative position supporting our advice and client service vision; which allows the advisor the assurance necessary to know that the practice is being maintained and supported within Ameriprise Financial guidelines.

This role provides client relationship and general practice management support through gathering client data, helping prepare client deliverables and touch points such as interacting directly with clients to ensure accurate account set up, organizing client files, setting up new business and performing other business management tasks relating to client service. Responds to ad hoc requests, coordinates/tracks projects and/or manages business-as-usual projects.

Responsibilities

Key Job Responsibilities
  • Schedule client appointments, prepare agendas and forms for appointments
  • Prepare meeting documents including, but not limited to, meeting agenda, performance reports, insurance illustrations, applications, and plan deliverables
  • Responsible for pre-and post-meeting communications to clients and creating and tracking follow-up steps
  • Participate in all phases of the planning, investing, and client service processes
  • Maintain client relationship management systems for record keeping and marketing purposes
  • Answer questions and provide readily available information to clients, if requested and as allowable, as it relates to servicing their accounts
  • Conduct transaction requests as directed by financial advisors
  • Execute Securities trades and transactions as directed by advisors, staff and/or clients
  • Answering the phones and greeting clients
  • Cross-train for similar job duties
  • Perform any other duties or tasks which may be necessary


Required Qualifications

  • Positive attitude and sincere willingness to constantly learn and grow
  • Customer/client service experience
  • Excellent communication skills; oral and written
  • Excellent organizational skills and attention to detail
  • Strong computer skills; proficient in Microsoft Office (especially Word & Excel) and ability to learn company specific programs
  • Polite and clear phone manner
  • Ability to multi-task
  • Ability to adhere to rules and regulations as stated and required by advisor and Ameriprise Financial
  • Ability to support and provide guidance for compliance within the advisor's practice
  • Must pass background check
Preferred Qualifications
  • Professional administrative office experience in the financial services industry
  • Security and Insurance Licensing is preferred
