POSITION

Overview

WFG Shared Services (WFG-SS) is one of four groups within the Wellington Funds Group (WFG), which focus on ongoing operational oversight and support of fund operations. WFG-SS is responsible for performing and optimizing efficiency for operations that better scale through automation, centralization, standardization, and/or, outsourcing.

The WFG Shared Services Analyst is a key member of the WFG-SS team; they will be directly responsible for performing and overseeing tasks centralized within the SS-team and from the other teams across WFG.

Operational responsibilities will be daily, weekly, monthly and ad hoc. Overarching expectations are that the WFG-SS Analyst will not just perform or oversee the operations, but will approach their work with an entrepreneurial and innovative mindset. Success in this role will be achieving maximum efficiency across processes while appropriately mitigating risks.

Responsibilities

The Analyst will act in varying capacities, including but not limited to the following:


  • Working with multiple custodian and prime brokers to obtain and complete country opening documents for fund launches and/or one off market requests

    • Manage all markets needed for fund launches across all WFG funds

    • Oversee the documentation markets and complete paperwork as needed

    • Manage signatures and mailing of documents to custodians/prime brokers

  • Oversee the expense payment process for Wellington Fund Services

    • Liaise with custodians, fund administrators and other service providers on their invoices

    • Review invoice payment instructions and coordinate signatory execution

  • Manage 3rd party business process outsourcing provider (BPO), handling a variety outsourced end-to-end processes as well as component processes

    • Facilitate the outsourcing of additional processes and/or workflows to the BPO

    • Oversee processes executed by the BPO, ensuring that service level agreements (SLA) are met timely

  • Apply for new fund Legal Entity Identifiers (LEI's) as well as manage renewal process for the three Wellington Fund Services groups

  • Review documents/agreements to onboard participants for business teams; working with Client Services teams to ensure full/appropriate completion of documents, liaising with senior leaders to formally execute the agreements

  • Work on projects to onboard/outsource new tasks as the group continues to expand its service coverage

  • Create procedures to document the work being performed

  • Contribute and lead to maximum innovation and efficiency of all processes performed


Qualifications

The successful candidate is likely to have:

  • An undergraduate degree, preferably in accounting, finance, or business

  • 3+ years of fund operations experience

  • A natural inclination to innovate processes and find the most efficient way to perform repeatable tasks

  • Strong technology skills, such as experience working with or developing databases (e.g. Tableau, KNIME, SQL, HighGear)

  • A natural inclination to innovate processes and find the most efficient way to perform repeatable tasks

  • A team oriented attitude, a natural curiosity to learn, and a desire to increase their contribution to the team

  • An ability to synthesize information quickly as well as to identify, research and resolve unfamiliar issues

  • Experience working with vendor products and technology

  • Strong analytical skills with attention to detail

  • A client service mindset and excellent communication skills

  • Detailed Global Markets opening knowledge a plus
