The Human Resources Assistant will support the efforts of the Boston-based Talent Acquisition team. He/she will help manage the overall daily Talent Acquisition support needs of the team.  The ideal candidate will possess strong organizational, multi-tasking skills and excellent attention to detail along with outstanding service-orientation and mature judgment.  S/he will be a team player with a strong work ethic and the capacity to prioritize in a deadline driven environment. 


Specific responsibilities include:


  • Managing all data entry in the application tracking system, including opening, updating and closing job requisitions, as well as hiring and transferring employees

  • Scheduling, coordinating and tracking all scheduling of interviews

  • Preparing offer letters

  • Initiating background investigations and completing the new hire process for candidates hired

  • Organizing all candidate files and search files

  • Maintaining and updating staffing information such as agency and client lists

  • Ensuring accuracy and integrity of employee data upon entry

  • Producing reports as needed for Talent Acquisition Managers

General Administrative:

  • Providing phone coverage

  • Overseeing calendar management, including coordinating and tracking all scheduling of meetings

    Preparing letters, memos, and presentations


  • Demonstrated customer service orientation and professionalism

  • Willingness to be a team player

  • Appreciation for confidentiality and demonstrated discretion

  • Successful track record of scheduling in a high volume environment

  • Strong attention to detail; outstanding communication and organization skills

  • Ability to multi-task effectively and exhibit grace under pressure

  • Undergraduate degree preferred.

  • Minimum of 1-2 years' experience in an administrative role, preferably as a recruiting coordinator

  • Strong computer skills including Word, Excel, PowerPoint, Outlook
