Executive Assistant

Job responsibilities
Duties will include, but are not limited to:
  • Complex and proactive calendar management for the CFO
  • Extensive logistical coordination of meetings with various constituencies and Committees
  • Processing expense reimbursements and other expense items
  • Preparing memos, correspondence, presentations, and other documents, including editing, collating and distributing materials
  • Perform employee data management tasks within our human resource system (Workday)
  • Assist with departmental responsibilities, including communications, new employee onboarding, Treasury tasks, and a variety of other ad-hoc project work
  • Collaborating with the other Finance & Administration executive assistants and providing back-up coverage as needed
  • Schedule domestic and international travel arrangements
  • Telephone coverage
Qualifications & Skills
  • Minimum 3 - 5 years of experience in a complex, global professional environment; experience in investment management or professional services industries will be viewed favorably
  • Undergraduate degree with strong academic credentials preferred
  • Strong interpersonal and communication skills plus high level of reliability, professionalism and discretion with confidential information
  • Positive, can-do attitude; flexibility; sense of humor
  • Excellent organizational, multi-tasking, and prioritization abilities
  • Self-starter; ability to work independently and be proactive in problem solving
  • Ability to work independently, and as part of a team
  • Ability to work under deadlines and accommodate last-minute changes
  • Advanced proficiency in MS Office (Word, Outlook, Excel, PowerPoint, Teams, and OneNote) with an ability and desire to learn new technology to drive efficiencies
  • HRIS experience preferred; familiarity with Workday HR system a plus
