POSITION

The Executive Assistant will provide administrative and program support to the Office of the Chief Operating Officer which provides business management across the firm's investment platform. Initial focus of the role will be supporting the Early Career Investor Development Program; other responsibilities could include supporting the Knowledge Management and Corporate Access functions.   The ideal candidate will possess strong organizational, multi-tasking skills and excellent attention to detail along with outstanding service-orientation and mature judgment.   S/he will be a team player with a strong work ethic and the capacity to prioritize in a deadline driven environment.

RESPONSIBILITIES

He/she will manage the overall daily support needs of the team, as follows:  

   Complex and proactive calendar management

   Coordinate logistics for internal and external meetings or events

   Detailed materials preparation in Word, Excel, PowerPoint, OneNote and other internal systems

   Schedule domestic and international travel arrangements

   Maintain various types of confidential information

   Perform diligent telephone coverage

   Handle daily mail, filing systems, expense tracking and reporting

   Develop and maintain strong collaborative relationships with multiple internal and external constituencies

   Provide cross-coverage and back-up support to other Administrative/Executive Assistants

   Assist with ad hoc project work, as required, within immediate team and broader Office of the COO functions

 

QUALIFICATIONS

   Minimum of 3 years' experience within an administrative role in a professional services organization

   Experience in an HR, recruiting, and/or program management context will be viewed favorably

   Advanced proficiency in MS Office (Word, Excel, Outlook, OneNote & PowerPoint) with an ability and desire to learn new technology to drive efficiencies

   Outstanding interpersonal and communication skills, plus high level of reliability, professionalism and discretion

   Strong service orientation and proactive problem-solving skills

   Excellent organizational, multi-tasking, and prioritization abilities

   Fastidious detail orientation and overall work quality

   Ability to work under deadlines and to accommodate last-minutes changes

   Positive, can-do attitude; flexibility; sense of humor

   Undergraduate degree with strong academic credentials
