Basic Purpose:

The Eaton Vance Main Desk Administrator will be the first point of contact for the company both in person and via incoming phone calls. A warm, pleasant, professional demeanor is essential to success in this role.

He/she will handle the flow of people throughout the organization and ensure that all responsibilities are completed accurately and delivered with high quality and in a timely manner. He/she will attend to visitors and building security personnel to ensure efficient and pleasant visitor experiences with a high level of customer service driving excellence.

The MDA will work closely with Switchboard Operator and be responsible to answer all incoming calls, direct the calls to the appropriate personnel and departments within Eaton Vance and its affiliates. As a representative of Eaton Vance, he/she will handle all inquiries in person, over the phone and via email and will supply general information regarding the organization to clients, applicants and visitors. He/she should would be a supportive team player and be willing to assist with a variety of needs as they arise.

The MDA will be in constant communication with people of all levels at any given time.

Primary Responsibilities:

  • Provides reception desk and switchboard coverage to the Boston office
  • Greets, screens and directs visitors, vendors and job applicants
  • Posts visitor names onto buildings guest security websites
  • Handles all incoming calls arriving through the switchboard software as well as direct calls from a variety of internal and external people
  • Performs basic clerical duties including keeping the reception/switchboard user manual up to date
  • Receives, directs, and coordinates deliveries of food from various restaurants for meetings
  • Assists with communication and coordination for the cleanup of conference rooms
  • Assists with Facilities-related issues for the office
  • Maintains security protocol by following procedures including confirming all guests with the contact if the guests are not on the security list and monitoring logbook
  • Responsible for maintaining a safe and clean reception area and conference rooms daily
  • Documents and communicates actions, irregularities and continuing needs to ensure continuity among work teams
  • Assists with special projects as requested
  • Manage calendar meetings and aide in booking rooms
  • Manage multiple emails and ensure that all requests are being handled
  • Assist in creating, organizing, and updating department files
  • Create departmental memos to be distributed accordingly

Job Requirements

  • High School Diploma or equivalent
  • Minimum of two years of receptionist or related experience
  • Proficient in Microsoft Office suite
  • Supply Management experience a plus
  • Excellent organizational, communication (verbal and written) and listening skills
  • Professional demeanor, welcoming attitude
  • Extraordinary work attitude with a client focus
  • Exceptional attention to detail
  • Excellent interpersonal skills, with the ability to interact with internal and external individuals at various levels
  • Ability to multi-task in a fast paced, high pressure environment
  • Ability to resolve issues and concerns quickly
  • Punctual, dependable and flexible
  • Proactive and eager-to-succeed mentality
  • Interest in the Financial Industry a plus
