Bank Policy & Strategy Officer - Governance
Job Description
The Bank Policy & Strategy (BP&S) Officer will assist the Vice President execute compliance functions related to all aspects of BP&S governance obligations, including the coordination, preparation, and communication of reports to the Compliance and Ethics Committee (CEC), Business Conduct and Risk Committee (BCRC), Examining & Auditing Committee (E&A), and the Board of Directors of State Street. Additionally, the BP&S Officer will execute the administration responsibilities for the Compliance & Ethics Committee and will get experience in Corporate Compliance policy and training content . The remit of the BP&S team is global, high profile and fast-paced. The role involves frequent interaction with senior management of State Street, thus exceptional verbal and written communication skills are critical.
Responsibilities :
  • Provide day-to-day local management support
  • Monitor and manage the CEC mailbox on a daily basis
  • Coordinate and review all reporting to the CEC and all Corporate Compliance reporting to the E&A and Board of Directors
  • Coordinate with key stakeholders to facilitate compliance program presentations and agendas
  • Obtain outside presentations from senior management of other business areas, following up as necessary to meet all deadlines
  • Know key stakeholders and their staff. Communicate meeting logistics effectively, including follow-up reminders as appropriate
  • Draft meeting minutes for the CEC in advance of each meeting
  • Attend each CEC meeting to perform administrative duties such as opening the phone line, taking attendance, assisting presenters with access to the meeting room, taking meeting minutes and ensuring each required vote is executed
  • Maintain and update lookahead agendas for the CEC, E&A and Board of Directors. Update agendas for all CEC meetings.
  • Communicate with BCRC, E&A, and Board of Directors staff as appropriate to stay current on agenda topics and changes
  • Prepare internal administrative reports, researching and requesting information as needed from management, focusing on accuracy and quality and meeting all deadlines
  • Manage the closed-member Collaborate site for the CEC, with information such as materials for each meeting, agendas, voting, and templates for material submissions
  • Manage CEC access and materials posted to Diligent
  • Manage CEC electronic voting (when necessary)
  • Assist with annual look ahead process to schedule key governance meeting and material review dates and outline key governance requirements for the following year
  • Prepare reporting packages for all State Street Corporation subsidiary committees, Federal Reserve regulators, and public accountants
  • 3-5 years of relevant experience
  • Positive attitude; responsive to requests
  • Takes a high level of initiative and ownership of responsibilities, has a sense of urgency, and proactively works to gain a thorough understanding of all reporting requirements and associated deliverables and deadlines
  • Able to multi-task and work calmly and effectively under pressure, with last minute changes and deadlines
  • Exceptional attention to detail with strong interest in editing and proofreading; this role will prepare and review documents to be submitted to senior governance committees
  • Exceptional written and verbal communication skills
  • Strong organization skills
  • Able to work collaboratively and professionally to obtain information from others
  • Able to work independently, with minimal need for supervision; understands entire process and proactively takes next steps without waiting for direction; asks questions to ensure a thorough understanding
  • Able to interact with all levels of staff and management, up to the Board level
  • Flexible, open to change and willing to learn new processes and systems such as Diligent
  • Technical Skills: Microsoft Office (Outlook, Word, PowerPoint, Excel); Share Point (Collaborate); Diligent Board Books
