Administrative Assistant, SrAssc
The Administrative Assistant role at State Street is an exciting, challenging, and highly visible role supporting a Managing Director and his or her team. The successful candidate will need to take initiative, exercise independent thinking, juggle multiple projects, set priorities, and meet aggressive deadlines in a fast-paced environment. The Administrative Assistant must have strong interpersonal and organizational skills and be interested in working in a professional and team-oriented environment. In this role, the candidate will have the ability to learn about State Street and depending on personal motivation and career goals, the candidate will have the ability to pursue other exciting opportunities in the organization.
Responsibilities:
  • Provide administrative support to the Managing Director and his or her team:
    • Manage calendar and/or email, coordinate meetings, conference rooms, correspondence, IT needs and personnel moves
    • Create and edit presentations
    • Coordinate travel and process expenses and timesheets in a timely manner
    • Coordinate and oversee document production and special projects, as requested
    • Research and compile materials needed for important meetings, calls, and projects
    • Work with HR on personnel matters, including on-boarding new hires
    • Coordinate team vacation and other time-off requests
    • Maintain and order office supplies and equipment
  • Support department operations:
    • Manage department subscriptions
    • Create purchase orders and process vendor invoices
    • Generate weekly headcount reporting
    • Compile monthly and quarterly management reporting
    • Monitor for timely completion of training, audit, and compliance items
    • Maintain accurate agendas, action item logs, and minutes for certain committees, working groups and other meetings
    • Maintain content on department SharePoint, Collaborate, and Box sites
    • Perform intermediate level data analytics, as requested
Qualifications
  • Excellent organizational skills with the utmost attention to detail; ensures that all responsibilities and assignments are completed accurately and delivered with high quality and in a timely manner
  • Proactive approach to problem identification and resolution, complemented by strong decision-making capability
  • Ability to adapt to shifting priorities, prioritize, meet deadlines, and effectively execute in a fast-paced environment
  • Excellent written and verbal communication skills; must have the ability to comfortably interact and communicate with all levels of the organization and accurately relay messages and information
  • Proven ability to handle confidential information with discretion
  • Willing to go above and beyond when urgent situations arise
  • Ability to reliably work independently and collaboratively with the larger team
  • Excellent time management skills, must be punctual and responsive to requests
  • Strong customer/client service orientation, personally invested in helping others and ensuring satisfaction
  • Strong proficiency in Microsoft Office Suite (Outlook, Word, Excel, and PowerPoint)
  • Intermediate to advanced ability to understand, analyze and interpret data to generate reporting and insights
