Provide administrative support and assistance multiple Sectors Heads at the SVP and MD level, including but not limited to assisting there team members, as needed.
Answers and screens telephone calls to determine resolution and routing. Schedules and coordinates meetings for Sector Heads which includes client meetings, team meetings and internal meetings; but could also assist team members with similar duties Makes multiple travel arrangements and keeps related records. Establishes and maintain files which may include confidential information. Schedules and set-ups conference rooms, catering, printing, CAVS and security for current and prospective client visits and other business related events (eg client dinners, team building, etc..) Sorts mail and written information to determine appropriate resolution and routing. Drafts responses on behalf of Sector Heads as requested. Coordinates and tracks all Star Compliance Activities for team including ordering items for special events. Assists with and monitors supplies and office equipment to ensure adequate levels and proper operation of machinery. Interacts with Purchasing and/or outside vendors to arrange for restocking of supplies and equipment service. Participates in or leads special projects as requested.
Secretarial school or equivalent post-secondary education. Minimum 5 years secretarial/administrative experience. Must be proficient in Microsoft Word, Excel, PowerPoint (intermediate / advanced). Demonstrated knowledge of secretarial/administrative methods and practices, including typing, grammar, spelling and basic math. Demonstrated computer skills including all office related products. Strong communication and interpersonal skills. Strong organizational skills. Analytical skills. Knowledge related industry in general, including terminology and administrative methods.
