Sales and Distribution

  • Provide administrative assistance as it relates to the ongoing communication of sales information to the broker dealer community.
  • Respond to incoming inquiries from registered representatives regarding fund, marketing and sales information.
  • Perform complex (e.g. project work) secretarial and administrative support duties to middle and senior management
  • Answer telephone calls, tactfully handle inquiries and transfer calls to appropriate party.
  • Assignments involve work of a confidential nature and require a basic knowledge of the practices, policies and procedures of the department/function, and may work on various projects as assigned.
  • Assemble and analyze information, prepare reports, agendas, correspondence and memoranda.
  • Handle project-oriented duties and ensure the accurate and timely completion of tasks.
  • Schedule and arrange meetings and maintain calendars and daily schedules (may include organizing catering or meeting locations).
  • Work with standard spreadsheets, databases and word processing software packages.
  • Interface with various managers and/or senior management, cross organizations, and internal and external customers relating to sensitive and complex issues, interactions require tact and diplomacy and confidentiality.
  • Typically reports to Manager/Director/VP or SVP and provides support to department.
  • Calendar, travel and expense management.
  • Arranging client and other meetings, video conferences and conference calls.
  • Includes high-level client meeting planning, client agenda development, preparing meeting agendas, compiling/ editing presentations, reports and execution.
  • Helping on projects and ad hoc tasks.
  • Bachelor-s degree strongly preferred or secretarial certificate/related work experience in a professional business environment with a strong attention to detail.
  • Experience in a professional environment required; secretarial and, or administrative experience preferred.
  • Excellent interpersonal skills (personal, friendly, proactive, and approachable) with a customer service focus.
  • Ability to work in a fast paced, global environment and the ability to handle multiple tasks simultaneously is required.
  • Strong proficiency in Microsoft Office Suite (Outlook, Word, Excel, and PowerPoint) and experience in interacting with various levels of staff.
  • Excellent communications skills both written and oral.
  • Exposure to the financial industry a plus, with experience in working with numbers.
  • Ability to work independently and collaboratively.
  • High level of attention to detail and high degree of integrity.
  • Highly organized with an ability to anticipate the executive's needs over time.
  • Ability to problem-solve and prioritize.
  • A successful candidate will be pro-active and responsive by phone and email
