Client Service Assistant
Job Description

We are a growing, friendly, and fast-paced financial planning and investment management office in the Northshore Chicago suburbs. We are looking for a motivated and hardworking team member to join our practice. A successful candidate will demonstrate excellent organizational, problem-solving, and customer service skills. A positive attitude, a desire to help, and care for others are essential.

The client service assistant will be responsible for providing client service support, assisting with the gathering and management of client data, and working with clients to resolve issues and questions. This position will consistently follow high standards of business and professional ethics and legal and regulatory requirements when dealing with others and performing work activities.

Our office is located within walking distance of the Metra Union Pacific North train line for commuting from Chicago.

Responsibilities

Responsibilities may change over time to meet the needs of the practice and can include other duties as assigned by the advisor or other team member.

Essential Duties and Responsibilities:
  • Maintain ongoing relationships with clients
  • Answer client inquiries and provide readily available information to clients
  • Prepare and verify information for client forms, applications, and other documents
  • Assist with transfers and 401(k) rollovers
  • Review and update client information as needed for client review meetings
  • Attend and participate in client meetings
  • Manage and resolve client service problems
  • Perform other allowable duties as assigned by the financial advisor
  • Write notes or letters to clients on personal letterhead
  • Review and respond to emails as necessary
  • Provide general administrative/reception support as needed in the branch
  • Prepare and summarize client meetings by scheduling and confirming meetings, entering data into client relationship manager, creating the agenda and summary of meetings, escorting clients to advisor, and providing necessary follow-up
  • Provide general administrative duties such as answering the advisors phone, preparing routine client correspondence, setting up of client files, copying, logging incoming mail/checks
  • Assist the company to attract new clients by maintaining and enhancing marketing materials

  • Professionalism, personal accountability, and desire to work in a team environment
Education and Other Designations:
  • College degree or higher
  • 1+ years of similar experience preferred
