As part of the marketing organization, the national proposal center of excellence (theStudio) is expanding to become the Pursuit Center of Excellence (COE). As such, the team is expanding to enable the development and delivery of sales support materials and credentials, enhancing client touch-points throughout the buyer journey. The Pursuit COE is hiring a senior associate, who will report to the pursuit COE leader, and will manage the project assignments for all incoming proposal and sales deliverable requests into the intake, manage team workflow, and make project assignments across theStudio and the newly developed sales materials team. The Workflow Coordinator will also take on sales materials projects as time allows. The allocation of time between managing workflow and managing sales materials projects is TBD. Flexibility, an open mind and a good sense of humor is required as the role evolves.

Duties and Responsibilities:

Under the Pursuit COE theStudio handles 2,400+ proposals each year, and the soon to be established sales materials team will handle a yet to-be-determined quantity of sales deliverables annually. The Workflow Coordinator will help the Pursuit COE operate smarter and more efficiently, by consolidating and streamlining the process of confirming the scope for new requests, determining the ideal individual to support each request, confirming availability, and then informing the requestor of the person assigned.

Responsibilities include:

Intake management – oversee all new proposal and U.S. sales deliverable requests coming into the Pursuit COE. Reach out to the requestor to confirm scope and learn more when needed.

Resource management – keep tabs on the workload and availability of individuals across theStudio and U.S. sales materials team, as well as outsourced contractors. Reach out to individuals to confirm ownership of new projects.

Stakeholder communication – communicate with partner-level stakeholders on project requests to confirm the scope of projects and alert writers to assignments in a timely, respectful manner.

Sense of urgency – maintain the standard of excellence where requests into the Pursuit COE are assigned within 24 hours of being notified of the request.

Technology – quickly adopt and leverage new technologies to improve efficiency and effectiveness.

Process improvement – monitor current traffic processes and share ideas on how to improve current practices where possible.

Tracking – comply and use CRM database to track all proposal information required to develop weekly, monthly and quarterly reports. Ensure data is accurate and updated real-time.

Reporting and analysis – assist with reporting and analysis as needed.

Branding – Elevate the PCOE’s reputation and strengthen its brand by communicating positively and professionally, demonstrating strategic sales acumen, resolving issues as they arise and creating best practices to increase the win rate.

Sales Credentials and Proposal Strategy – With limited supervision or guidance from the team manager, identify winning strategies by understanding the external and internal client needs, challenge the status quo and create sales deliverables that are customized and tailored to the target audience.

Qualifications

Qualifications and Requirements

Bachelor’s degree in business, marketing, communications, English or related field preferred

7+ years of operations, sales materials or proposal experience preferred (professional services ideal)

Able to multitask, prioritize, and manage time efficiently

Able to work in a fast-paced environment

Creative thinker

Problem solver

Understanding of the pursuit / sales cycle and sales enablement content

Sound skill with Microsoft applications (Outlook, Word, PowerPoint, Excel, Publisher)

Excellent verbal and written communication skills

Self-motivated and self-directed

Good interpersonal skills and communication with all levels of management
