The portfolio administrator will assist in the daily tasks for their assigned account load which involves overseeing cash flows, posting STIF entries and daily interaction with our parent company operations team, who assists with daily reconciliation.  Work directly with portfolio managers and traders to ensure investment decisions are timely and accurately implemented across strategies and portfolios. The portfolio administrator will assist client service on account requests from inception to regulatory reporting requirements.  This role also includes producing quarterly and/or monthly client reporting. 

There are three main categories of functions:

  • Portfolio administrator (internal and external reporting and reconciliation)
  • Sales/marketing/client service support (interaction with all levels of management)
  • Investment (cash flows and investment objectives/restrictions)

Primary Responsibilities:

  • Analyze trading activity in equity and fixed portfolios to ensure that funds are available and fully invested.       
  • Prepare and deliver information requested by portfolio managers, analysis, clients and/or third party consultants, including transactions summaries, holdings reports, customized reports etc.
  • Maintain reliable source of cash for the purchase of securities by tracking settlements schedules. 
  • Alert portfolio managers of imminent overdrafts or significant withdrawals/ contributions.
  • Perform daily and monthly reconciliation of equity and fixed positions, cash income, trades and cash balances. 
  • Identify and resolve any issues related to month-end asset and market value discrepancies. 
  • Interact with trade operations to ensure successful settlement of all trades.
  • Investigate and resolve discrepancies between internal records and custodian statements. 
  • Act as a liaison between investment manager and custodian banks.

Job Requirements:

  • Bachelor degree in Finance or Accounting preferred
  • 3+ years of Investment industry experience required (preferred in fixed income and equity securities)
  • Good judgment, responsiveness, sense of urgency and follow-through
  • Detail oriented and accurate
  • Reconciliation skills (basic accounting principals)
  • Prioritize multiple tasks and deadlines, escalate issues as necessary
  • Ability to work independently and in a team environment
  • Maintain proper records
  • Microsoft office products, Excel and PowerPoint is extensively used (intermediate experience level preferred)
  • Excellent interpersonal skills, both written and oral.

    • Aladdin (portfolio accounting system)
    • Seismic (data automation tool)
    • Salesforce
    • Proxy voting
    • Bloomberg
    • Various custodian online systems
