Description:

Administrative Assistant positionsupporting lawyers and paralegals within Morgan Stanleys Legal Department andensuring efficient administration of the office.

Job Responsibilities:

·       Support multiple attorneys and staff members simultaneously

·       Access and download court and arbitration filings from online dockets and databases

·       Prepare regulatory filings for attorneys matters

·       Calendar case deadlines for active matters

·       Open and update matters in the Firms matter management system (T360) and related databases

·       Telephone coverage, including handling urgent/confidential calls with appropriate judgment

·       Maintain  office calendar and schedule meetings and conference calls

·       Coordinate conference rooms, including audio/videoconference set up

·       Arrange travel, including maintaining travel profiles and managing approvals

·       Prepare and timely submit expense reports

·       Prepare and submit check requests

·       Handle highly confidential documents and correspondence

·       Type correspondence, memos and presentations, prepare presentation and meeting materials; copy, collate, bind if necessary

·       Navigate the Firms resources, interface with various departments to collect information and respond to requests

·       Distribute office mail, arrange messenger and overnight package services

·       Provide backup support for colleagues during vacation/sick days, and assist their managers as needed with phone coverage and other office needs

·       Keep orderly, fully-functioning work area

·       Receive all external visitors and arrange guest passes via internal system

·       Ad-hoc projects


Qualifications:

  • Experience supporting multiple senior professionals

  • Experience working in the financial industry and/or a legal department preferred

  • College Degree preferred (or relative corporate experience 5+ Years)

  • Excellent communication, writing, judgment, and problem-solving skills

  • Strong attention to detail and solid organization/time management skills

  • Enthusiastic and positive team player who is willing to help out and who works well with colleagues

  • Able to work in a fast-paced environment and handle multiple tasks concurrently

  • Proficient in Microsoft Office applications, especially PowerPoint, Excel and Outlook for email, calendar and contacts

  • Keep up to date with office procedures and technical training as well as all policy guidelines and compliance requirements

  • Experience and knowledge of  Matter Management systems

  • Experience and knowledge of Concur and Ariba (or similar travel and expense management systems)

  • Proficient typing skills (60+ wpm)
