Client Services Specialist
Gilmore & Romines, an award winning, private wealth advisory practice located in San Rafael, CA is seeking a full-time Client Service Specialist to join our dynamic and growth-oriented team!
The Client Service Specialist is an integral part of our team and an essential component of our ability to provide our best in class client care and expert financial guidance each day. This role will focus heavily on client concierge services and assisting them with everything from account maintenance to beneficiary and Power of Attorney updates to money movement and new business processing. Responsibilities

  • Preparing and confirming that financial Advisors' new business paperwork processes successfully, which may include preparing forms, obtaining appropriate signatures, and tracking new business.
  • Gathering pertinent client data in preparation for financial planning activities as requested by the Advisor
  • Attending client meetings and preparing post meeting summaries of key discussion points as well as conveying action items to be completed multiple parties
  • Completing any business passed to you from Advisor including applications for new business, account maintenance, applying funds in the form of checks to appropriate accounts, and placing trades as directed from Advisor.
  • Creating notes each day in CRM concerning trades, transactions, follow up, and tasks for others as a communications best practice.
  • Assisting our Advisors, admin and operations manager with various tasks, projects and participating in team initiatives as needed.
  • Reaching out to clients for explanations of issues or for trade authorizations including email/letters for new applications as directed by the Advisor.
  • Communicating any client account/service issues that may arise to the Advisor and providing feedback they can act upon.
  • Compose and respond to routine correspondence with key internal and external stakeholders as well as 3rd parties.
  • Assist clients with inquires and troubleshoot software and account issues as needed.
  • Proficiency in Microsoft Office is a requirement.
50%-Client Care:
  • Call clients or prospects to set up meetings or confirm appointments.
  • Assist clients with inquiries and troubleshoot software and account issues as needed.

50% -Business Management:
  • Completing any business passed to you from Advisor including applications for new business, account maintenance, applying funds in the form of checks to appropriate accounts, and placing trades as directed from Advisor.
  • Creating notes each day in CRM concerning trades, transactions, follow up, and tasks for others as a communications best practice.
  • Complete any administrative tasks passed to you from advisor team, including new client setup, client records maintenance, depositing checks to client accounts, etc.
  • Preparing and confirming that financial Advisors' new business paperwork processes successfully, which may include preparing forms, obtaining appropriate signatures, and tracking new business.
  • Assisting our Advisors, admin and operations manager with various tasks, projects and participating in team initiatives as needed.
