ROLE AND RESPONSIBILITIES:

We are looking for a high-level professional with strong organizational and very strong interpersonal skills to support our Chief Executive Officer and Chief Finance Officer. This position serves as our CEO and CFO’s administrative liaison to our employees, board of directors, external partners and vendors. Must be able to maintain discretion and confidentiality in relationships with all employees and board members.  Assists in coordinating the agenda of senior management team meetings, off-sites and all-hands company meetings.  

 

The ideal individual will have the ability to exercise good judgement in a variety of situations, with strong written and verbal communication, administrative and organizational skills, and the ability to maintain a realistic balance among multiple priorities. The Executive Assistant will have the ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities, and confidential matters with discretion.  The individual must have a proven system of organization and can manage multiple calendars and time zones. You bring a desire to learn the business while first and foremost to support these executives at our fast-paced firm.

Specific Responsibilities include:

  • Provide direct and proactive administrative support to two key executives in San Francisco


  • Proactively manage multiple calendars requiring extensive internal and external communication
  • Plans and coordinates and ensures the CEO and CFO’s schedule is followed and respected. Provides “gatekeeper and “gateway” role for direct access to the CEO’s time and office
  • Coordinate frequent domestic and international travel
  • Compile extensive and frequent expense reports
  • Prepare presentations for both internal and external meetings
  • Coordinate, plan and execute company-wide meetings and special events
  • Draft and disseminate letter and email communications internally and externally, including to Directors and stakeholders
  • Liaise with other departments on the execution of strategic projects
  • Maintain efficient organization of correspondence, reports, data and meeting materials
  • Provide general administrative support to the Finance & Accounting team, as needed
  • Back-up other Administrative Assistants, as needed


 

SKILLS/KNOWLEDGE/ABILITIES:

  • Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
  • Excellent professional written and oral communication skills
  • Very strong interpersonal skills and the ability to build strong relationships with stakeholders, including employees, management team, board members, and external partners and vendors
  • Demonstrated proactive approaches to problem-solving with strong decision-making capability
  • Highly resourceful team-player, with the ability to also be extremely effective independently
  • Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response
  • Forward looking thinker, who actively seeks opportunities and proposes solutions
  • Maintain strict confidentiality with sensitive information
  • Able to anticipate needs and act upon requests independently
  • Experience with Concur, and WebEx a plus
  • Advanced MS Office Suite and strong Adobe Acrobat skills required


QUALIFICATIONS:

  • Bachelor’s degree required
  • Strong work tenure – 10+ years of experience support C-Level Executives
  • Financial services, specifically asset management experience strongly preferred
  • Must be a U.S citizen or authorized to work in the U.S on a permanent basis
  • No relocation is offered for this position

 

HOURS: 8:30am 5:30pm*

*There is an occasional need, with sufficient notice, to shift the schedule to an earlier start time or later end time to best support the needs of the executives. This is a non-exempt position with minimal overtime required.
