REPORTING RELATIONSHIP: Manager, Administration

ROLE AND RESPONSIBILITIES:

We are looking for a positive, efficient, proactive Administrative Assistant to support several of our U.S. based Client Services professionals. This is a fantastic opportunity for someone smart, focused and organized with a desire to learn about the business. There is a great growth opportunity for knowledge and experience within this position. The ideal candidate should be a team player, extremely motivated, resourceful and possess consistent solid attention to detail.  You have experience working in a financial services company and understand the importance of a positive, professional presence and communication.  You have prepared complex travel and perform a holistic approach to make sure you have included all that is needed for a successful business trip. You have experience supporting client service events and understand how crucial their success is to the business. You bring a desire to learn the business while first and foremost supporting the Client Services team at our fast-paced firm.

Specific Responsibilities include:

  • Provide direct and proactive administrative support to several members of the Client Services team
  • Assist the Client Services team in coordinating company roadshows, including managing the registration process, preparation, shipment of materials, and other tasks as directed
  • Coordinate with internal groups to manage conference attendance and logistics
  • Manage multiple calendars and assist in the coordination of meetings with Client Services, Investment Team members and Clients
  • Coordinate complex domestic travel in collaboration with other teams
  • Compile extensive and frequent expense reports
  • Responsible for maintaining current Salesforce client records and executing Salesforce projects
  • Prepare presentation books for clients and prospects
  • Draft and coordinate meeting agendas and materials
  • Maintain efficient filing and organization of shared documents
  • Perform a variety of other tasks on behalf of the U.S. Intermediary Team
     

QUALIFICATIONS:

  • Bachelors degree, preferred
  • Minimum 3 years of administrative experience supporting a team (Client Services/Sales, preferred)
  • Financial services, specifically asset management experience, preferred
  • Must be a U.S citizen or authorized to work in the U.S on a permanent basis

SKILLS/KNOWLEDGE/ABILITIES:

  • Advanced MS Office Suite skills required
  • Salesforce proficiency, preferred
  • Experience in Concur and WebEx preferred
  • Strong aptitude, high energy and interest in learning
  • Demonstrated ability to work in a team environment and collaborate well with others
  • Able to anticipate needs and act upon requests independently
  • Excellent written and oral communication skills and solid interpersonal skills required
  • Professional phone manner
  • Highly organized with the ability to handle multiple tasks to meet strict deadlines
  • Resourceful, outgoing, flexible
  • Proactive, punctual and dependable

HOURS: 8:00am – 5:00pm*
*There is an occasional need, with sufficient notice, to shift the schedule to an earlier start time or later end time to best support the needs of the team. This is a non-exempt position with minimal overtime required.
