The Legal Assistant provides secretarial services to senior attorneys and paralegals in the Legal Department. This position is responsible for drafting correspondence, memoranda and forms, as well as performing all general legal secretarial duties such as word processing, filing, scheduling meetings/conferences, and answering telephones. The incumbent is also responsible for opening and distributing mail, proofing documents, maintaining department files, maintaining ongoing summary of outside legal bills, and answering various inquiries.
~The primary challenge of this position is to develop and prioritize workflow in a fast-paced environment. The incumbent must be a multi-tasker, able to handle a host of functions that include long and short-term projects and daily tasks. It is critical that the incumbent be an independent and proactive thinker, able to use good judgment while operating under demanding time constraints and shifting priorities.
The incumbent has contact with clients as well as internal investment professionals, officers and others in various departments in order to gather signatures/documentation. The incumbent will also work with support staff to process mail and special deliveries and to set up meetings. This position is privy to confidential information so a high degree of professionalism and strict adherence to confidentiality are required.
Draft, revise and finalize correspondence, memoranda, agreements, forms and other documentation.
Track and record relevant data for separate accounts in Salesforce. Run Salesforce reports as needed.
Schedule meetings, manage calendars and route incoming calls and execute outgoing calls.
Assemble and index documents relating to regulatory filings relating to our registered advisors and internal lobbyists.
Maintain separate account and other corporate files.
Assemble relevant data and information for special projects as directed using Word and Excel.
Create, track and record relevant documents for separate accounts, including those based on trading and regulatory requirements.
Develop and maintain spreadsheets to allocate costs/expenses as needed.
Produce mail merge letters and organize mailings; create document comparisons.
Complete any other special projects as requested by the department.
Minimum 5 years of administrative support experience with excellent proofing and typing skills
Ability to perform full clerical, administrative, and general office duties in a responsible and confidential manner
Strong computer skills, including proficiency in Microsoft Office (Word, Excel, and Outlook) and Adobe Acrobat
Familiarity with legal language, transcription and photocopier machines
A team player with excellent interpersonal skills and the ability to prioritize multiple, deadline-driven tasks
Strong document management and organizational sills
Prior legal secretarial experience preferred
Knowledge of iManage (document management system) and Workshare (document comparison program) desirable
