The incumbent in this position will provide administrative support to 5 senior analysts in the Equity Research Group. In addition to filing, coordinating meetings, scheduling travel arrangements, managing conference registration and calendars, this role will also perform other duties such as gathering and summarizing data for reports, monitoring earnings calls, creating, and developing visual presentations from rough drafts, and conducting internet research as needed.
~Position requires continual attention to detail in composing, typing, proofing and disseminating information to cross-functional teams and management levels within the firm. The incumbent will work independently or within a team on special nonrecurring and ongoing projects. Independent judgment is required to plan, prioritize and organize a diversified workload and seek supervisory assistance as appropriate.
Maintains calendars, coordinating meetings, conference calls and appointments
Schedules and organizes travel and hotel accommodations, conference registration and related expense reports
May conduct detailed internet research and fact finding as required by analyst
Assist in developing routing and non-routine reports utilizing various financial data sources
Develop reports and memos from rough drafts, verifying data, editing grammar, punctuation and spelling
Establish and maintain electronic filing system of trade journals and financial reports
Maintain on-going library of earnings calls and posting quarterly calls on analysts’ calendars
Screens telephone calls and visitors, ascertaining who can be redirected
Sorts and distributes mail, drafts written responses or replies via phone or email as required
Will type general correspondence, memos, produce charts, tables, graphs. Proofreads copy for spelling, grammar, layout etc.
Bachelor’s degree or equivalent combination of education and experience with a minimum of two years of administrative experience
Ability to prioritize diversified workloads
Position requires excellent interpersonal skills, demonstrated poise and ability to motivate and influence others with diplomacy and tact in a diverse environment
Ability to handle sensitive and confidential information
Advanced or Intermediate competency in using Microsoft Office Suite
Excellent written, oral, telephonic and data entry skills, compose routing letters, proofing documents, and producing reports from rough drafts.
Ability to handle moderately complex administrative details, such as preparing routine reports by consolidating data from several sources
Intermediate to advance computer skills (Excel, Word and PowerPoint)
Ability to conduct complex Internet research assignments
