Responsibilities

Based in downtown Los Angeles, the Administrator will provide support for the Recruiting team.

Responsibilities include:

  • Assisting in managing the daily operations of the HR department including answering phones;
  • Coordinating and handling candidate interview scheduling including:
    • Communicating with everyone involved to gather availability
    • Creating and sending itineraries
    • Reserving meeting locations
    • Adding candidates to security list
    • Coordinating with IT on A/V needs when necessary or setting up Zoom meetings
    • Greeting and escorting candidates and notifying interviewers of candidates arrival
    • Working with the candidates/agency and Direct Travel to book the candidates travel when necessary
    • Buying and setting up lunch for candidates when necessary
    • Training admins in other departments on how to schedule interviews for their teams
  • Posting and updating positions in our Applicant Tracking System, Workday and other applicable job boards;
  • Emailing offer letters and saving in shared drive when needed;
  • Organizing recruitment-sponsored events, including the set-up, catering and facilitation of the event;
  • Working with recruiters to make sure the Global Staffing Report is updated on a regular basis and distributing to internal constituents such as Accounting and Corporate Finance;
  • Assisting in managing the Associate program, scheduling events, maintaining tracker, and helping with onboarding;
  • Compiling and reviewing candidate expense reports;
  • Reviewing, reconciling and processing relocation invoices;
  • Reconciling recruitment related invoices against the general ledger on a monthly basis;
  • Managing the Recruiting inbox regularly; responding to emails and following up accordingly;
  • Managing recruiting meeting agenda and handling setting up the meeting using Zoom;;
  • Assisting and participating in Diversity and Inclusion initiatives,
  • Partnering with recruiters on screening and sourcing resumes, and
  • Performing other tasks as needed.

Qualifications

  • Internship experience in a support role, preferably within an HR department of a professional firm;
  • Proven ability to manage tasks with competing priorities and deadlines, independently determining order of priority and self-initiating other value-added tasks;
  • Strong working knowledge of Microsoft Office applications, including Excel, Word and Outlook.

Education

Bachelors degree required.
