Your role is integrally important to the team achieving its objectives. You will be responsible for ensuring new advisers joining Quilter Financial Planning on appointment receive all their provider agency codes allowing them to transact business on behalf of their clients. You will also ensure the adviser is setup on the Quilter Financial Planning systems so they can complete fact finds, submit business and ensure the information in the back-office system will allow Quilter Financial Planning to match payments and pay the adviser.

This role forms a key part of the overall adviser on boarding experience so it is important that new applicants receive a positive, professional service. You will be trained on the process for ordering provider agent codes, how to initiate the various systems the adviser will use along with setting up the QFP back office systems.

About the role

  • Processing Adviser appointments in a timely manner, as detailed in the service standards
  • Processing of Adviser Transfers and Role Changes in line with Regulatory requirements
  • Inputting data onto our “Back Office” systems and keeping the data up to date
  • Ensure agency codes are ordered in line with FCA approval and ready for the Adviser’s appointment or transfer
  • Chasing Agency codes from product providers
  • Maintain accurate management information to track agency codes received
  • Provide firms and advisers with help and support and excellent customer service
  • Support advisers with any issue they may have submitting business or that may stop them writing business by liaising with product providers and lenders.
  • Working at all times in accordance with procedures, company policy and processes.
  • Working at all times lawfully and in accordance with the pre-defined regulatory, compliance and financial requirements e.g. Data Protection, Code of Conduct, Health and Safety and Financial Conduct Authority Standards.
  • Achieve Targets Set
  • The aim is for Initial checks and files to be set up within 24hrs of receipt
  • Chase agency codes from providers to ensure they are received within agreed SLAs
  • Adviser record in the back-office systems updated on a regular basis as required
  • Work to standard processes and controls to ensure work is processed accurately and correctly.
  • Meeting expectations around quality standards, productivity and team principles.
  • Take responsibility for your own, personal, workload and strive to have it completed for the relevant payment run or equivalent

Key Performance Indicators and Deliverables

  • Ensure all operational activities are delivered to plan, and to the standards expected by the Company and most importantly the Advisers and member firms
  • Ensure that all processes are implemented and operated effectively, including the application and monitoring of controls related to the processes
  • Ensure that risks are managed and mitigated appropriately
  • Manage within budget

About you

  • Excellent organisation and planning skills necessary to manage a wide variety of tasks, processes and responsibilities
  • A good team player and comfortable communicating with a variety of audiences
  • Commitment & Motivation – work volumes are varied so you will be expected to cope with this
  • Flexible and adaptable to an ever-changing environment
  • Excellent attention to detail
  • Positive and Sales Focused – You will be a first point of contact for new firms and advisers joining Intrinsic and have daily contact with Regional Directors
  • Good, professional communications skills
  • A confident approach, self-motivated with good interpersonal skills.
  • Ability to cope with pressure and react quickly to changing Ability to work using own initiative but also as part of a team
  • Analytical skills with problem-solving ability
  • Ability to follow process when required
  • 5 GCSE’s grades A-C including Math’s and English

Essential

  • A good understanding of Microsoft office
  • Excellent communication skills

Desirable

  • Previous or current experience of working within Financial Services
  • Previous or current Data Entry experience
