Our teams are growing and we are looking for an Office Manager in our London office location. This position will be responsible for the effective management of the day-to-day operations of the office functions including reception duties, all office/facilities-related matters, administrative support for Human Resources, Managing Directors and Department Heads.

In this position, you will:

  • Ensure the smooth running of the office and its maintenance on a daily basis
  • Act at first point of contact for all guests and general inquiries, representing the Company with a strong professional image
  • Act as first point of contact with staff, property management and building security for all office/facilities-related enquiries, resolving all issues as quickly as possible when they arise
  • Manage relationships with third parties including negotiation of contracts with new vendors as and when needed
  • Prepare and manage the office budget in collaboration with the Director Facilities & Administration, ensure spending remain within allocated budget and all queries related to the budget are dealt with in a timely manner
  • Manage all office related purchasing with appropriate approvals
  • Manage the office security system
  • Administrate the Company’s online travel system and act as first point of contact for international employees; assist with travel visa enquiries and applications
  • Manage any internal office moves
  • Responsible for ensuring office emergency plan and Health and Safety regulations are adhered to at all times and carrying out DSE assessments
  • Provide strong administrative support for senior management to include calendar management and meeting planning, coordinate travel arrangements, execute expense reporting, and other logistics  
  • Assist with organising external and internal company meetings/events as well as any catering when needed
  • Assist with scheduling meetings, meeting rooms or conference calls when needed
  • Ensure meeting rooms, break out areas and reception areas are kept tidy
  • Ensure all office/HR management and relevant company documents are up to date and filing of hard/soft copy documents
  • Manage incoming and outgoing mail for the office, as well as courier and taxi bookings

Job qualifications:

  • Educated to a degree standard or equivalent work experience
  • Proven track record managing a busy professional office environment
  • Excellent administrative and organisational skills
  • Ability to work to tight deadlines, prioritising and multi-tasking effectively and efficiently to manage conflicting workload
  • Excellent attention to detail
  • Strong verbal and written communication skills to communicate with a diverse client group
  • Computer literate, proficient with MS Office (Word, Excel, PowerPoint and Outlook)
  • Demonstrates strong commitment to providing excellent customer service to the business
  • A confident, friendly and outgoing approach, staying calm under pressure
  • An ability to work under own initiative and as part of a team
  • Reliable – in terms of attendance, punctuality and completion of tasks given
  • Practically minded: able to roll sleeves up and get stuck in
  • A very high level of integrity and confidentiality is essential
