Legal Team Administrative Assistant


Role
This role is to act as an Administrative Assistant for the In-House London-based Legal Department, comprising 8/9 lawyers and the Company Secretarial Team of 3, working closely and collaboratively with the PA to the General Counsel, International.

Responsibilities
• Creating and amending legal contracts, reports, presentations, spreadsheets and other documents
• Managing diaries, scheduling meetings and making hotel/travel reservations
• Scheduling, organising and acting as coordinator for board and committee meetings in conjunction with Company Secretarial team
• Producing Committee and Board packs (using Diligent software) and distributing to attendees
• Printing and binding Committee and Board packs
• Undertaking annual reconciliation of company and committee minutes
• Assisting PA to the General Counsel, International in supporting non-executive directors
• Preparing legal documentation for signature and arranging signatures
• Providing general administrative support: routine correspondence, answering telephones, greeting visitors, photocopying, faxing, scanning, filing, archiving
• Processing legal invoices and expense claims
• Managing IT service issues and requests
• Maintenance of Legal Department databases
• Cover for the PA to the General Counsel, International during absence
• Providing other general administrative support that may be required from time to time
The successful candidate will benefit from having:
• Experience providing senior administrative support in financial services or similar Ability to communicate at a senior level
• Ability to make sound judgements and independent decisions regarding planning, organising and scheduling of own work on a day-to-day basis with minimal instruction
• Proficiency in Microsoft Outlook, PowerPoint, Word and Excel (intermediate) - experience of producing and revising legal contracts preferable
• Excellent written and verbal communication skills
• Ability to proof-read to ensure the accuracy of the documents and correspondence
• Ability to prioritise work to ensure that deadlines are met
• Proactive approach
• Ability to maintain confidentiality
