The key purpose of this role is the management (internal and external) event projects from concept to on-site execution. To support the firm’s industry position through the high quality, flair and innovative nature of it’s events. Key contributor to the implementation of firm’s event programme in support of Investor Relations, Origination, Corporate Communications and Brand strategies. Providing Event Management excellence through distinct and differentiated events. To manage key third party relationships within the event spectrum.
  • Responsible for full event management of assigned projects. Including, venue sourcing, event proposals, contract  management, internal and external invitation process and event communications, event logistics,          supplier management, budget management and event reconciliation.
  • Identifying, engaging and managing high-quality venues and suppliers across the spectrum, to ensure effective and cost-effective delivery of events. Specifically, Production, Catering, Venues, Event Design/Print etc.
  • Support internal communications through distinct, high quality events
  • Planning alternative scenarios, and making appropriate bookings and reservations, up to 18 months in advance
  • Negotiating and enforcing favourable terms and conditions with event-related suppliers, to ensure value for money
  • Working with the firm’s senior management, and its Marketing, Investor Relations, Investment and other functions, to craft events specific to their needs.
  •  

    Managing the logistics (rather than the content) of both internal and external events:

  • ‘Internal’ events – such as ‘off-site’ meetings for the Executive Committees or Investment Team; the firm’s Company Offsite programmes and other informal get-togethers.
  • ‘External’ events – such as the firm’s twice-yearly investor meetings (similar to AGMs); corporate entertainment programme; private dinners; and so on.
  • Keeping abreast of Events industry developments – Venues/Innovations etc
  • Support Head of Events with the scheduling of events and prioritising projects appropriately
  • Ensure appropriately detailed communications with key stake holders, regular meetings scheduled, and actions followed up for all assigned projects
  • Act as in-house Cvent “super-user”. Delivering training and providing support to ensure internal users are confidently using the software efficiently and in best-practice, whilst continuously managing account use with provider

ESSENTIAL

  • High-level experience of all aspects of event management B2B– from small private dinners to large set-piece meetings with associated entertainment
  • Familiarity with the demands of large corporate events – a track record in financial or professional services events would be beneficial
  • High level experience and understanding of overseeing event production (3rd parties)
  • Strong attention to detail/High level of accuracy, being highly organised in order to manage workload
  • Adaptable with flexible work patterns
  • Efficient and able to prioritise effectively
  • Good written and oral communication skills
  • Experience of managing budgets, P&L
  • Ability to maintain discretion
  • Strong Microsoft Office skills including Word, Outlook, PowerPoint and Excel
  • Experience in proposal presentation creation and pitching
  • Educated to degree level or equivalent
  • High level understanding of Event Management Software systems, specifically Cvent

DESIRABLE

  • Previous Marketing experience with qualification such as CIM an advantage
  • Previous experience in financial services an advantage, but not essential
  • Knowledge of Salesforce CRM Platform
  • Fluency in one or more foreign languages an advantage, but not essential
