Administrative Assistant

Location: Seoul, Seoul-teukbyeolsi, South Korea

The Role / Responsibilities:

We are seeking a new Administrative Assistant to support the Representative Director of Moody's Korea office, who reports to the Regional Head of the Asia Pacific. In many cases, this person will be the "voice and face" of Moody's to external clients including executives. This role goes beyond traditional administrative responsibilities providing an ideal opportunity to work on a variety of projects for someone who enjoys multitasking and supporting a dynamic team.

  • Support regular Commercial Group activities including but not limited to reporting via internal system, deal pipeline distribution, deals file management and cold calling clients
  • Handle all aspects of meeting coordination from scheduling meetings, reserving meeting rooms, arranging teleconferences and webcasts, preparing agendas, assisting with event planning and coordination and ordering any catering to room setup
  • Handle all aspects of domestic/international travel and entertainment activities from the reservation process to accurate processing of expense reports and preparing detailed itineraries
  • Supports office operational tasks and maintenance
  • Project Work - organization of external and internal events including Board of Directors meetings, off-sites and training
  • Produce and re-format slide presentations on PowerPoint, typing corresponding handout notes, typing up of minutes during meetings
  • Field incoming telephone calls, greet and attend to visitors and guests in a professional and efficient manner. Manage incoming and outgoing correspondences and courier services
  • Provide general administrative assistance including photocopying, filing, updating databases, scheduling events and processing invoices as directed and within required timeframes. Also responsible for all stationery, groceries and office consumables requests
  • Assists with inquiries and requests from other Moody's offices
  • Management of Moody's Korea website
  • Proactively identify opportunities to streamline certain processes in order to enhance the workflow efficiency of the group
  • Develop a detailed knowledge on Company policies
  • Any ad-hoc assignments

Regional Admin

  • Not required specific University major, but prefer majoring or minoring in business administration, accounting or secretary administration
  • Minimum 3 years of relevant work experience
  • Business proficiency in English and Korean
  • Highly professional demeanor in person and on the phone to communicate with both internal and external stakeholders
  • Excellent follow-up and prioritization skills to manage multiple assignments
  • Proactive with a positive attitude
  • Self-starter who works well with minimal supervision
  • Poise under pressure and the ability to maintain the highest level of confidentiality and discretion
  • Proficiency in MS Office including Outlook, Word, Excel and Powerpoint
