Procurement and Administration Executive, Corporate Services

You will be part of a focused and professional team responsible for delivery of customer centric Corporate Services within Bank of Singapore.

You will also be part of the team to manage the administrative business processes, primarily in the area of procurement administration and contracts management.

You are also required to carry out regular business analytics on procurement and other corporate data to ensure compliance and/or improve and streamline our processes for more effective delivery.

Responsibilities:

  • Execute daily procurement activities for Corporate Services Team in accordance to the bank's procurement procedure and policy.
  • Act as the primary support for all purchase requests and serve as a point of contact in liaising with vendors and requestors on purchasing matters.
  • Source, plan, control and purchase Opex and Capex items and services i.e, Office supplies, pantry supplies, stationaries, corporate collaterals, furniture, office equipment, etc.
  • Ensure timely clearance and submission of invoices to Finance for payment.
  • Administration of contracts to support business requirements and handle vendor management for procurement to ensure the quality of services delivered within budget and timeline.
  • Resolve discrepancies pertaining to quantity, quality and pricing.
  • Maintenance of Corporate Services procurement related databases and keep track of all records pertaining to purchases.
  • Provide support to events/activities organize at BOS Social Hub and Meeting Suites.
  • Provide general administration support and activities.
  • Assist on routine maintenance works, checks, repair and defect works. Ensure works are being carried out promptly, effectively and orderly.
Secondary duties:
  • Provide back-up support for physical security and monitor internal systems (such as card access system, CCTV surveillance system) to ensure prescribed and approved procedures are followed:-
  • Back up officer to Corporate Services Executive.
  • To take on ad-hoc administrative duties as assign by the line manager(s).
  • Work outside normal working hours may be required.


Qualifications
Requirements:
  • Diploma with 5 years relevant working experience in procurement and administration preferred.
  • A strong team player who is self-motivated, driven and possess good analytical/problem solving skills.
  • Good interpersonal, written and verbal communication skills for collaboration with stakeholders across all levels.
  • Takes initiative, is hardworking and service-oriented.
  • Able to work independently.
  • Able to meet demanding requirements and multiple deadlines.
  • Strong in Microsoft office applications (i.e. Excel, PowerPoint, Word).
  • Significant experience in a corporate vendor management role; facilities and procurement experience preferred
  • Knowledge of landlord operations, aptitude for contract negotiation, management and enforcement of terms
  • Have work experience in banking /financial institution environment.
