Job Specification



The Commercial Coordinator is responsible for supporting the commercial and business development team in tender submissions, quotation preparation, commercial administration, CRM management, customer enquiries, and marketing activities. The role serves as a key coordination point between the commercial team, operations, and customers to ensure efficient execution of commercial activities



Principal Accountabilities



Tender & Quotation Management

• Coordinate the tender and quotation process.


• Prepare tender submissions, including supporting documentation and internal approvals.


• Generate quotations and commercial proposals.


• Review quotations and contractual terms and conditions in accordance with company authority limits.


• Maintain quotation registers and monitor tender outcomes.


• Provide quotation analysis and KPI reporting.


• Track leads, opportunities, enquiries, and quotations within the CRM system

Commercial Support

• Serve as the key point of contact for internal commercial activities.


• Support the commercial team with pricing reviews and commercial documentation.


• Coordinate activities between commercial, operations, finance, procurement, and customer service.


• Ensure timely communication of customer requirements and project updates.


• Support operational handovers from sales to project execution teams.


• Assist with contract administration and customer onboarding processes

CRM & Reporting

• Act as the key administrator and champion for the CRM system.


• Ensure all opportunities, quotations, leads, and customer interactions are accurately maintained within the CRM platform.


• Monitor sales pipeline progression and opportunity conversion rates.


• Generate weekly and monthly commercial performance reports.


• Support sales forecasting and business planning activities.


• Identify gaps in CRM data quality and implement corrective actions.

Marketing & Communications

• Coordinate marketing campaigns, events, exhibitions, and customer visits.


• Support brand governance and marketing initiatives.


• Coordinate public relations activities with group and local agents.


• Manage newsletter content, campaign analysis, and follow-up actions.


• Assist in preparing marketing materials and promotional content.

Administration

• Maintain commercial documentation and filing systems.


• Ensure commercial records are complete, accurate, and auditable.


• Support internal and external audits when required.


• Assist in policy implementation and process compliance.


• Provide administrative support to the Commercial Director and commercial team as required

Qualifications and Experience:

• Minimum 3 years of experience in a commercial coordination, sales support, business development, or customer service environment.


• Proficient in Microsoft Excel, Word, and PowerPoint.


• Experience supporting regional or multinational operations is advantageous.


• Experience with CRM platforms (Dynamics 365, Salesforce or equivalent).


• Experience in energy, industrial services, engineering, oil & gas, rental services, or related sectors would be an advantage.
