Head of Corporate Services/Corporate Services Manager

Responsible for managing, planning and coordinating various administrative business operations towards achieving internal operational excellence in support of HK Branch.  Able to complete office planning/ relocation or renovation projects independently and manage cost / budgets and timelines in an efficiency manner.

Responsibilities:

  • Lead Corporate Services Team to handle full spectrum of office administrative support to all departments in HK Branch
  • Manage Corporate Service Team to provide support to department (Ops & Technology) overall
  • Administration of contracts to support business requirements and handle  vendor management for procurement to ensure the quality of services delivered within budget and timeline
  • Liaise with outside vendors/ suppliers for office renovation, maintenance projects and office supplies as well as other projects as assigned
  • Responsible for post / mail room management, stationary management, pantry management, cleaning supervision, confidential bin management etc.
  • Responsible for buildings, facilities and security maintenance to ensure regular maintenance contracts in place and quality servicing
  • Oversee physical security and monitor internal systems (such as card access system, CCTV surveillance system, ) to ensure protocol are followed
  • Manage office relocation and renovation projects, space allocation and seating plan
  • Prepare team’s budget and monitor cost and expense spent
  • Ensure the implementation of office administration related policies and procedures
  • Close liaison with Head Office to ensure the local processes or procedures are in line with Head Office
  • Support ad hoc projects and assignments as and when required
  • Work outside normal working hours may be required

Requirements  

  • Over 10 years of the related experience in property management, facility management and office administration, of which with proven experience at managerial level
  • Excellent organizational and multitasking abilities
  • A good team player, detail-oriented with leadership skills
  • Solid written and verbal communication skills
  • Proficient in MS Office
  • Able to manage office relocation / renovation projects and meet budget & deadlines with quality deliverable 
  • Proficient in spoken and written Chinese and English, Putonghua is preferable.
  • Have work experience in banking /financial institution environment.
  • Degree or professional qualification or equivalent
