Job Title & Responsibilities

Financial Controller: This person will have responsibility for performing the following job duties:

Accounting and reporting

  • Oversee accounting and financial activities for the family and the investment office
  • Supervise accounting staff including external accountants such as 3rd party administrators
  • Reconcile each bank and investment account monthly
  • Prepare monthly and annual reporting packages including budgets, spending and investment performance
  • Plan and develop overall return calendar and coordinate timing and inputs:  company (e.g., capital calls) and personal cash flow management (e.g., expenses, charitable donations)
  • Develop, enforce, and evaluate accounting policies and procedures and internal controls
  • Closely review and monitor all expenses, including personal, taxes, insurance, medical, travel, etc.
  • Maintain records and accounting for properties, vehicles, and other personal assets
  • Maintain accounting records for each of the investment vehicles and the family office entity and ensure annual government and registered office fees are paid on time and any other requirements are considered (e.g., economic substance regulations in BVI, Cayman)

Bank account opening and management

  • Assist with account opening including completing applicable forms and gather data for KYC, AML, Fatca, and CRS
  • Review changes to account terms and conditions and raise any issues therein
  • Manage preparation and recordkeeping for checks and wire transfers
  • Review all monthly bank account and credit card activity and raise any issues therein
  • Keep abreast of interest income that can be earned for call, savings, and time deposits and money market funds and make recommendations to maximize short-term income whilst balancing risk and reward
  • Streamline cash receipt and payment procedures to the extent possible

Legal

  • Review legal documents on an ad-hoc basis and provide comments
  • Oversee external legal advisers and closely monitor billing to ensure reasonable
  • Monitor relevant regulatory and tax developments, communicate the effects of these developments and create strategies to capitalize on changes

Estate planning

  • Coordinate, implement and maintain estate planning techniques and related documentation. Includes working with external counsel on related matters. Understanding of trust agreements and wills.

Custody

  • Continuously consider safeguarding of assets and whether custody and counterparty risks have been adequately addressed to ensure global banking and investment assets are securely held

Asset Allocation

  • Periodically review asset allocation and make recommendations to improve performance and reduce risk

Investments

  • Prepare subscription forms for new fund investments and gather data for KYC, AML, Fatca, and CRS requirements
  • Maintain effective control procedures over all aspects of the investment and distribution process
  • Monitor fees on invested assets, funded and unfunded commitments
  • Review and reconcile investments and partnership interests on a monthly/quarterly basis
  • Drive overall risk management and take initiative for continued improvements in controls and processes
  • Regularly communicate with investment managers as required
  • Investment tracking and performance measurement for individual securities, funds, managed accounts, and other investments

 

Properties

  • Review monthly expenses and arrange for payment
  • Ensure all bills are paid on time to avoid late penalties e.g., taxes

Finance/Loans

  • Assist with funding and lending arrangements as necessary, and ensure assets securing loans are ring-fenced appropriately to mitigate risk
  • Ensure that no personal guarantees are ever included

Insurance

  • Manage insurance renewals and policy maintenance

Tax

  • Coordinate with tax advisers, providing data and communicating changes to investments, businesses, and personal situation
  • Create and implement tax planning strategies
  • Take advantage of tax deductions or other tax benefits in relation to charitable giving
  • Manage all tax filings and budget same
  • Liaise with accountants to minimize tax liabilities either through effective tax structures and/or establishing entities to utilize for investing with minimal tax consequences

Liaison

  • Work closely with external third party service providers including bankers, accountants, advisers, lawyers, investment managers, custodians, etc.
  • Resolve any family inquiries, issues, and special requests quickly and accurately

Management

  • Provide support for various ad-hoc projects
  • Demonstrate ability to prioritize and manage multiple assignments and projects to meet deadlines with efficiency and accuracy
  • Manage bookkeepers and/or secretaries and/or administrative staff
  • Overseeing payroll and MPF requirements for employees
  • Recommend process improvements
  • Contributing to weekly management meetings to help drive goals and objectives
  • Develop and implement controls, policies, and procedures for the Family Office

Philanthropy and charity

  • Monitor, account for, and budget philanthropic and charitable giving

Candidate Qualifications

  • High degree of honesty, integrity, and discretion
  • Chartered Accountant or equivalent
  • At least ten years of accounting and finance experience working in an asset management firm or department
  • Good analytical skills and a strong passion for investment research
  • Diligent with a good work attitude, good communication skills and team spirit
  • Comfortable working in a family environment
  • Fluent English with strong verbal and writing skills; Cantonese and Mandarin helpful
  • University graduate, finance or accounting major
  • Works well under pressure to meet tight deadlines
  • Can work effectively and independently in a small office environment
  • Can start within 30~45 days

Working Hours

Working hours are 9am to 6pm with one hour for lunch. Overtime is to be expected periodically, commensurate with this high-level position

Remuneration

Compensation includes monthly basic salary plus an annual discretionary bonus depending on Company, portfolio and individual performance
