The purpose of your role is to provide high-end support to the Executive Talent Acquisition team in APAC to ensure the team provides the highest level of candidate and hiring manager experience throughout the recruitment lifecycle. You will ensure a positive and engaging first impression of FIL is provided to all executive level candidates and will represent the executive talent acquisition team in a highly professional manner to all internal or external stakeholders.

Department Description

The Global Talent Acquisition function is a global team covering hiring at all levels across Fidelity International. The team focuses on 3 core areas of Talent Acquisition - Early Careers, Experienced Hiring & Senior Executive Talent Acquisition and covers hiring across all hire types - Permanent, Fixed Term and Contingent. The team's purpose is to add subject matter expertise and process excellence in sourcing candidates (externally and internally) and assessing candidates. Above all else the team is committed to providing candidate and hiring manager experiences that demonstrate the core of Fidelity International Values and Behaviours.

The Executive Talent Acquisition team is made up of Five team members, based in our London and Hong Kong offices. This team supports Executive Talent Acquisition into the UK & Ireland, Continental Europe, India and APAC, including, Honk Kong, China and Japan and the key objective of this team is to ensure Fidelity International recruit the best possible candidates for their most critical and senior executive positions within the business.

Purpose of the Role

The purpose of your role is to provide high-end support to the Executive Talent Acquisition team in APAC to ensure the team provides the highest level of candidate and hiring manager experience throughout the recruitment lifecycle. You will ensure a positive and engaging first impression of FIL is provided to all executive level candidates and will represent the executive talent acquisition team in a highly professional manner to all internal or external stakeholders.

  • You will be a central member of this highly dedicated team who deliver at the core of the talent strategy for Fidelity International.
  • You will work collaboratively with open and bright colleagues, who are highly experienced within executive recruitment to deliver regional projects and execute complex assignments.
  • You will have the opportunity to assist the local Talent Acquisition partner on some operational recruitment activities, if you have the experience and desire to grow your experience as a recruitment partner.

Key Responsibilities

Assignment Support

  • Building assignment time plans and complex assignment scheduling & interview support for each executive role.
  • Building candidate packs for each assignment, to include relevant business information and bio's of the interview team.
  • Provide candidate reports and copies of CV's to the interview teams via our HR application - Workday.
  • Support the Executive Recruiters with the build and distribution of the Assessment & Selection materials into assessor ready interview packs.
  • Support the executive recruiters with the collation of interview feedback reports.
  • Maintain the library of assessment & selection materials on behalf of the Executive Talent Acquisition team.
  • Other tasks include; supporting email queries in the central recruitment mailbox on behalf of the team from both employees, candidates and line managers.

Candidate Management Support

  • Concierge candidate management including travel & hotel arrangements via our in-house travel partners Hillgate.
  • Support senior executive candidate's on interview days where required, including setting up video conference connections, lunch bookings and taxi's to airport.
  • Support executive orientation, when required.

Additional Support

  • Support the Executive Talent Acquisition team member in APAC with some 'PA' type activities such as diary management of supplier meeting, travel bookings and room booking for team meetings.
  • Support recruitment activities and provide holiday coverage when required.
  • Other tasks include supporting email queries in the central recruitment mailbox on behalf of the team from both employees, candidates and line managers.
  • Support the Recruiters with the sharing of both operational and market insight & content, to the wider HR teams via platform including Microsoft Teams.
  • Provide candidate research support.

Data Collation

  • Support the maintain data and MI including suppliers KPIs tracking for the executive talent acquisition team.
  • Manage the library of insight & market intelligence reports.
  • Recruitment MI, global tracking systems and suppliers KPIs tracking.
  • You will support the team keep abreast of best practice and/or market news relevant to the team's activity and develop in time your own research method to partner with the team.

Experience and Qualifications Required

  • Strong administrative support experience gained ideally from within a Talent Acquisition team or Executive Search practise.
  • Extensive relationship building skills and ability to foster strong working partnerships within the executive PA community.
  • Skilled at navigating diary challenges & ensure assignment time plans are achieved an delivered-on time.
  • Experience as a recruitment advisor or junior recruitment partners highly desirable.
  • Knowledge of social media tools and ability to support candidate sourcing activities highly desirable.
  • Prior experience of LinkedIn and ability to identify & source applicants and the development of talent pools.
  • Strong experience using MS Office tools, in particular Excel and PowerPoint.
  • Previous experience working with HR systems, databases, reporting or LinkedIn beneficial but not essential.
  • Strong teamworking experience.
  • Highly effective organisational, multitasking and attention to detail skills essential.
  • Exceptional customer focus.
  • High proficiency in written and verbal communications.
  • Familiar working with sensitivity and confidential matters.
  • Strong problem-solving skills and a positive outlook.
  • Experience of working in a dynamic fast-paced environment.
  • Advanced Outlook skills with demonstrable experience of managing multiple diaries.
  • Experience of documents and packs production.
  • Excellent interpersonal and communication skills with a professional telephone manner.
  • Undergraduate degree ideal but not essential.
