Provide broad range support to the Asia Pacific Chairman's office. The scope of responsibilities includes the following and is not limited to:

  • Manage calendar and schedule appointments
  • Provide telephone coverage with excellent telephone etiquette
  • Prepare expense claims, process invoices, and conduct appropriate record keeping
  • Handle travel and lodging arrangements
  • Maintain lists, databases, and filing systems
  • Coordinate schedules and logistics for and support overseas VIP visitors to the region
  • Organize high quality, large group, senior internal meetings
  • Handle frequent coordination with local and overseas offices around the region and globally
  • Assist in organizing client events logistics, in close coordination with internal corporate function teams, internal front office teams, and clients
  • Adhere to control policies and procedures, such as budget and compliance approvals, compliance policies, documentation etc
  • Manage and keep track of events budget with a view to cost efficiency
  • Provide diligent support in ad hoc projects, and be available to your peers to assist with overflow and/or day-to-day tasks
  • Exert good judgment when handling confidential information
  • Identify and escalate critical issues and follow up with necessary actions


  • At least eight years of relevant working experience, with substantial experience working with senior executives environment
  • Experience in Events Planning and Investment Banking environment preferred
  • Strong project management, analytical, and critical thinking skills
  • Ability to collaborate and work well with others, with a calm and willing attitude, in a fast-paced and team-orientated environment
  • Excellent interpersonal and communications skills, with ability to prepare diligent written internal and external correspondences
  • Meticulous attention to detail, excellent organizational skills and discretion with confidential information
  • Be conscientious, confident, committed, and highly motivated
  • Adopt a flexible approach, able to prioritize and simultaneously handle multiple tasks discreetly
  • Able to work with limited supervision, and perform under pressure and tight deadlines
  • Proficiency in Microsoft Excel, Word, and Powerpoint
  • Good spoken and word processing capabilities in English and Mandarin
  • Willingness to learn new things and ability to grasp new concepts quickly
