Overseas the administration function of a boutique investment banking firm of around 30 people and to provide personal assistance to senior management.

  • Provide administrative and business support to the Capital Markets Team including the management of Roadshow, business travels, Conference, external and internal meetings
  • Co-ordination between Capital Markets Events and ensure meeting materials are well prepared
  • Oversee general administrative functions of the office including pantry, stationary, courier, reception services and staff leave records maintenance
  • Handles incoming calls, business correspondence and other documents when required
  • Maintain and monitor staff leave register
  • Responsible for travel visa and travel arrangements for all staff
  • Liaise with IT support providers on all technical issues
  • Provide secretarial supports including restaurant bookings, expense and medical claims
  • Organize corporate and client events when required
  • Handle ad hoc projects when required
  • Provide personal assistance to the two Founding Partners of the firm including personal calendar and schedule management



  • Bachelor degree or equivalent and at least 5 years of office admin / executive assistant supporting senior management within the Investment banking industry or sizeable company preferable
  • Experience in serving Expatriate or Senior Management and CRM system skills would be an advantage
  • Excellent written and verbal communication in English and Cantonese, Mandarin is preferable
  • Able to handle multitask and be flexible; Must have a “can-do” attitude
  • Must be a good team player, detailed mind, friendly, independent and good interpersonal skills
