Job Description

  • Project a good corporate image in dealing with all the internal and external customers
  • Greeting guests / visitors professionally and polietly
  • Maintain reception area in tidy and clean environment
  • Manage meeting room calendar and reserve the meeting room for colleagues
  • Monitor the company's telephone system, handle message drop off service and general line voice mail daily clearance
  • Familiarize the operation of the "Polycom" and assist the user to make multi-parties conference call by exisiting equipment
  • Arrange the itineraries / e-ticket / hotel accomodation / car booking for Business Team / IM Team / Sales Team
  • Booking and managing telephone conference system for all departments
  • Purchase name / business cards as per department procedure, maintain artwork and record updated
  • Co-ordinate the courier services (local / overseas) for all departments
  • Record all incoming registered mail / parcels
  • Keep temporary access card borrow record update
  • Report repairs and maintenance case to responsible person and keep the report updated
  • Checking invoices (couriers, travelling, printing) before obtaining Administration Manager approval
  • Co-ordinate with Office Assistant to order distilled water upon request
  • Co-ordinate with Office Assistant to arrange the waste paper recycling company to collect the recycle bags from our office on a weekly basis
  • As a backup to team members when the contractor carry out the telephone cleaning services or air filter cleaning services or other works during lunch time, Saturday or Sunday
  • When the Office Assistant is on leave, the Receptionist will be one of the backup to tidy up the meeting rooms after the meetings and provide coffee & tea services to visitors, taking care of the pantry area
  • If any colleagues request us to perform the work in which is related to personal affairs during office hours, prior approval from the Administration Manager should be obtained before carrying out the work
  • Other Ad-hoc duties as assigned by the Administration Manager

Job Requirements

  • 2 to 3 years or above related working experience; Candidates who have prior Customer Service work experience in Business Centre will be an advantage
  • F.7 or above with secretarial / administrative related qualifications preferred
  • Pleasant, detail-oriented, accurate, responsible individual who is self-motivated, willing to learn and can demonstrate very good telephone & greeting guests manner, administrative organizing, co-ordination and multi-tasking skills in a fast paced environment
  • Reliable and Trustworthy, able to keep confidentiality 
  • Flexible, well-organized, proactive, good team player and also can work independently
  • Good command of spoken and written English and Chinese (Mandarin and Cantonese) with good communication skills
  • Good in MS Office applications (e.g Outlook, Word, Excecl, PowerPoint) and Chinese Input
