Responsibilities
  • Coordinate department team events and venue sourcing
  • Handle department contract hiring& HR related matters
  • Govern department each staff BAU expenses- precheck before line managers approval
  • Liaise with external and internal executive assistants for meeting arrangements
  • Liaise with hiring agency on contract hiring (if contract hire needed)
  • Assist scheduling for Executive Director
  • Travel Claims for Executive Director
  • Travel Arrangement (flight ticket & hotel)
  • New Staff onboarding arrangement
  • Senior management visit HK - agenda, invitation send out, and etc.
  • Access right management for whole department
  • red packet ordering / new note coordinator
  • fire drill coordinator / work health space / volunteer work / Annual Dinner / Team event coordinator
  • Room / conference bridge line / projector booking
  • Digital service customer-facing stationery/hard token/ device ordering
  • Room / conference bridge line / projector booking
  • Digital service customer-facing stationery/hard token/ device ordering
  • Internal stationery ordering (laptop, phone, pen etc)
  • Moving office / cresa office management
  • BCP message & coordinator
  • Compliance related checker (e.g. gift received, legal expense, vender is connected party etc)
  • HR related checker (e.g. elearning chasing)

Requirements

  • Administration experience in a banking or financial institution
  • Proficiency in MS Office including Word, Excel and PowerPoint
  • Fluent in spoken & written English and Chinese
  • Good communication and organizational skills
  • Strong sense of responsibility, deadline-oriented, solution-focus, detail-minded
  • Able to work independently under pressure and tight timelines
