Job Description
Trustee Administration Officer - Full Time Position - Paying upto $70k Including Super + plus potential bonus - well known and trusted organisation

Role and Responsibilities

1. Client Service
  • Build effective relationships with clients
  • Act upon Client instructions within required timeframes (SLAs)
  • Respond to client enquiries relating to various services, financial products, fees and conditions
  • Provision of timely information and reports to clients and internal stakeholders
  • Use initiative, work with strict deadlines & perform tasks with high level of accuracy
  • Communicate effectively on issues / problems to Senior Management and ensure a proper and timely follow-up to ensure resolution
  • Appropriate handling of confidential and sensitive information
2. Account Management
  • Manage Corporate Trust bank account opening and closure requests within agreed SLA
  • Timely establishment of internal and external online banking user administration
  • Maintain accounts in line with company policies and procedures, industry codes of conduct, and client instructions
  • Maintain accurate records in internal systems; both electronic and paper-based format
  • File and maintain account documents and ensure they in compliance with account conditions
3. Risk Management
  • Identify risks and determine ways to mitigate them
  • Review and provide input into team Risk Profile
  • Conduct assigned biannual Control Self Assessments
  • Manage compliance with legal and statutory requirements
4. Accounts Administration
  • Issue client correspondence in accordance with corporate guidelines
  • Set up and manage new users in multiple internal/external systems.
  • Manage and resolve all account/user/transaction related queries with all Corporate Trust banking partners.
  • Verification of documentation and due diligence
  • Investigate & resolve operational and various IT issues
  • Assisting Senior Management to perform an overview function identifying operational trends, issues and areas for improvement
  • Provide guidance, support, act as resource & assist team members from multiple operational areas relating to queries from both business and technology aspects
  • Support and provide analysis for changes and issues
The ideal candidate will have the below skills
  • Understanding of trusts & related documentation
  • Solid understanding of AML and KYC
  • Demonstrated customer service and relationship management skills
  • Experience with foreign currency transactions, global payment formatting, domestic banking platforms, RTGS, & debt directory exchange
  • Ability to effectively prioritise, manage deadlines and understand new ideas and concepts quickly
  • Good knowledge and understanding of financial markets and the Financial Services Industry
  • Knowledge of Privacy Act obligations, relevant industry codes and legislation
  • Strong analytical, problem solving skills, attention to detail and the ability to multi task
