At State Street Australia Limited, through State Street Global Services (SSGS), we give asset owners and managers access to the essential financial tools they need to deliver effective investment solutions. From core custody, accounting, fund administration and shareholder recordkeeping, to complete operations solutions and servicing for alternative assets like OTC derivatives, private equity and real estate, SSGS’ tools help our clients make better investment choices and act on growth opportunities.


IMS APAC performs oversight for Trade Management, Corporate Actions, Income, Static Data Set-up and other functions. In addition, IMS APAC is also responsible for overseeing all the data and extracts that go to our clients. IMS APAC is a relatively new function in the region and support is needed to put in place the necessary structure for us to operate in a highly efficient, well controlled environment.

The purpose of this role is to provide oversight for the operations teams that support Transaction Management and Recordkeeping functions for our various investment management services (middle office) clients.

Responsible for overseeing the day-to-day operational escalation and support for those teams as well as ensuring governance and controls are adhered to within the IMS Oversight team.  Work closely with other IMS teams, locally and globally, to provide a high level of service to our clients. Understand and implementing a risk adverse environment including controls and governance is met to the highest standards. 

Key Accountabilities

General Tasks

·Ensure all daily, weekly and monthly governance and controls for the Oversight functions are completed

·Support the outsourced service providers in the daily BAU queries and escalations

·Coordinate the resolution of queries with various IMS teams such as client service, performance, pricing and the trade confirmation team in Hong Kong.

  • Resolution of Transaction management and trade related queries.

  • Escalation point to brokers, custodians for unresolved trade items.

  • Reviewing daily reconciliation statistics and cash forecasting sent to the IMS clients.

  • Provide evidence of daily/weekly governance controls to management.

  • Support other IMS teams as required to maintain high customer service levels

  • Follow all escalation processes to ensure management are aware of any issues

Risk and Compliance

  • Inform and escalate issues to Management of potential and actual issues that can have financial or relationship impact

  • Ensure full adherence and implementation of the corporate Risk policy and Standard Operating Procedures.

Supporting Change

  • Demonstrate a willingness to support change and work with the operations teams to roll out any changes to their processes across all of the clients that they support

  • Demonstrate ability to take on tasks without instruction

  • Work effectively with others to achieve results on queries.

Experience, Qualifications, Skills and Abilities


  • Understand the clients and their specific requirements

  • Essential to have be able to demonstrate market knowledge as well as understanding of Middle Office

  • 1-3 years’ experience in operations functions

  • Creative thinker with the ability to think out-of-the-box  

  • Must display an ability to drive tasks through to completion

  • Strong written and oral communication skills
