About The Role
Role Location: 839 Collins Street, Docklands VIC 3008
Role Type: Permanent Full-Time

As an Executive Team Assistant, you will provide administrative and operational support for multiple executives. This role may include ownership and management of small projects and is also expected to prepare meeting agendas, minutes and action tracking.

Responsibilities may include but not limited to:
  • Plan and manage all travel and accommodation for execs, ensuring cost effectiveness.
  • Manage travel, accommodation, catering and venue requirements for conferences, meetings and functions hosted by execs, ensuring cost effectiveness.
  • Manage the receipt and payment of invoices. Monitor and report exec expenses to ensure cost effectiveness
  • Producing general correspondence, presentations, reports etc of a confidential nature on behalf of Executive
  • Coordinate and manage all catering and venue requirements for internal conferences, forums and offsites (onsite\external) and various meetings and “events”, ensuring cost effectiveness.
  • Manage the receipt and payment of invoices and ensure expenses are coded and filed in a timely manner.
  • Act as central liaison point for communication between Executive and direct reports ensuring harmonisation and consistency of information
About You
To grow and be successful in this role, you will ideally bring the following:
  • Experienced in providing support to Senior Executives within the organisation
  • Experience in managing project work and meeting governance
  • Able to manage priorities and conflicting issues in a professional manner
  • Proven ability to build strong, open and collaborative working relationships
  • Demonstrated ability to use initiative, being proactive by taking action and being persistent in addressing issues
  • Able to support the Executive and wider Leadership Team in confidential tasks and execution of delivery
  • Extensive experience in administration in a fast-paced environment
