We have an exciting opportunity in our Philadelphia office for an Executive Assistant to support senior leaders of MIM. This is a fast-paced, demanding role which will offer senior-level management exposure across a wide variety of business activities. It requires a positive, confident and proactive approach, as well as exceptional time management skills.

About the role

We have an exciting opportunity in our Philadelphia office for an Executive Assistant to support senior leaders of MIM. This is a fast-paced, demanding role which will offer senior-level management exposure across a wide variety of business activities. It requires a positive, confident and proactive approach, as well as exceptional time management skills.

Key responsibilities

  • Executive Assistant to the Global Head of HR, Chief Risk Officer & Head of Strategy for MIM
  • Calendar management, including arranging both internal and external meetings
  • Helping with preparation for meetings and assisting on projects
  • Providing HR support for the employee lifecycle processes (starter, transfer & leavers)
  • Providing project management support and/or coordinating various projects / activities as needed
  • Regular interaction with assistants both in Philadelphia & globally, including coordinating regular conference calls with international offices
  • Planning and booking international and domestic travel
  • Travel expense reimbursement management (through Concur)
  • Providing light admin support to the HR & Risk teams as needed
  • Administrative assistance to senior visitors from other offices
  • Prepare and update PowerPoint presentations
  • Assist in running op risk reports, data extracts, and following up on actions arising from incidents (soliciting updates on progress)
  • Develop a solid knowledge of Macquarie Investment Management and its various departments

To be successful in this role you will:

  • Be highly confidential with information and exercise appropriate judgment/discretion and grace dealing with all parties
  • Demonstrate a proactive approach with the ability to fully understand the nature of the business and priorities within the team
  • Have advanced skills in MS Outlook, Word, PowerPoint and Excel
  • Be extremely organized, flexible, and have excellent attention to detail and follow-through
  • Some project management / coordination skills with the ability to handle multiple tasks simultaneously while adhering to timelines
  • Have the ability to work well under pressure, manage workload and deadlines effectively
  • Be resourceful and have the ability to work independently as well as within a team
  • Thrive in a dynamic business where accuracy, hard work and flexibility are imperative
  • Have excellent verbal and written communication skills
