Commodities and Financial Markets (CFM) provides clients with risk and capital solutions across physical and financial markets.

CFM's diverse platform has evolved over more than 30 years and provides financing, financial hedging, physical execution and access to market pricing for clients exposed to commodities and financial markets. Markets covered include energy; metals, mining and agriculture; fixed income and currencies; credit; and futures.

CFM's global reach includes 24-hour market coverage with staff located in more than 20 offices across the Americas, Europe and the Middle East, Asia and Australia.

We are currently looking for an Executive Assistant for our New York office in our Commodities and Financial Markets team. This is a fast paced role working with C-level executives and their teams. This role is an 8-10 week contract role with the potential to be converted into a full time employee.

In this role you will,

  • Coordinate extensive travel arrangements, both domestic and international using Concur.
  • Provide calendar management to multiple executives
  • Prepare, monitor and submit Amex and personal expense reports in Concur.
  • General office support including answering phones, taking messages, fielding/screening incoming calls, filing, copying, scanning, printing, clerical work, etc.
  • Ensure New Hires are set up in the system with badges, logins and submitting RC's for folder access etc
  • Schedule meetings and booking rooms with Guest relations or on our floor
  • Handle facilities/business services requests
  • Plan and coordinate external and internal events
  • Payment of Invoices and dealing with any enquiries
  • Work with other assistants to provide general office support and back up coverage as needed.
  • Regularly enter and maintain contact and meeting data into database
  • Arrange courier and overnight shipments
  • Coordinate with admin staff globally
  • Coordinate with Admin and IT for visiting staff and provide support once in office

To be successful, you will have:
  • Have 3+ years of Executive Assistant experience
  • Consistently display confidence and ability to own tasks
  • Be able to manage multiple tasks
  • Be able to focus on delivery within tight timeframes and ensure quality output
  • Be an articulate and professional communicator, both in verbal and written communication
  • Be a supportive and collaborative team member, providing top-tier service to the wider FICC team
  • Maintain a positive attitude and exhibit proactive, organized behavior on managed tasks
  • Strong attention to detail
  • Excellent organizational skills
  • Ability to work effectively with a wide range of personalities
